Data Protection Complaints Process

1. Purpose

This document explains how we handle privacy-related complaints from individuals whose data we process.

2. How to Complain

We recommend using the subject line: "Data Protection Complaint"

3. Our Process

Step 1 — Acknowledge

We will confirm receipt of your complaint and outline next steps within 30 days.

Step 2 — Investigate

We will review the systems involved, consent records, retention schedules, and any errors or potential breaches.

Step 3 — Respond

We will provide our findings, the actions we have taken, and any proposed next steps.

Step 4 — Resolve

We aim to resolve all complaints within 90 days of receipt.

4. Possible Outcomes

Depending on the findings, outcomes may include:

  • Correction of inaccurate data
  • Deletion of data
  • Restriction of processing
  • Updates to consent records
  • Process improvements to prevent recurrence

5. Escalation

If you are unsatisfied with our response, you have the right to escalate your complaint to the Information Commissioner's Office (ICO):

6. Record-Keeping

We maintain a complaints log which is retained for 6 years in accordance with our Data Retention Policy.

7. Confidentiality

All complaints are handled securely and privately. Your information will not be disclosed to third parties except where required by law.

8. Updates

This process is reviewed annually or after any complaint is received.
